That’s why we’ve been working closely with leading case management software provider MatterSphere and legal technology specialists Expedite Law to develop new integrations that streamline our conveyancing workflows and reduce unnecessary manual administration.

A Smarter Approach to Property Logbooks

One of the latest developments is the integration between MatterSphere and the National Logbook Register, making MatterSphere the first legal case management system to connect directly with the register.

This new functionality allows our conveyancing teams to automatically check whether a validated property logbook already exists when onboarding clients for both sales and purchases.

And if a property logbook is already available, we can incorporate the digital sales pack directly into the transaction; if one doesn’t exist, our system can automatically create and register a new one as part of our workflow, removing the need for repetitive manual processes.

What is a Property Logbook?

A property logbook is a secure digital record that stores important information about a property in one place. It can include:

  • planning permissions;
  • warranties, certificates and guarantees;
  • details of building works;
  • energy performance information; and
  • other key documents that may be needed throughout ownership or when the property is sold.

Rather than gathering this information from scratch every time a property goes on the market, a property logbook allows verified information to be accessed quickly. This helps reduce delays, avoid unexpected costs when buying a home and gives buyers, sellers and their legal representatives far greater transparency.

As more properties are registered with digital logbooks, they’re expected to play an increasingly important role in creating a smoother home moving process for everyone involved.

Working Together to Improve Efficiency

We’re already one of the firms providing property logbooks for several thousand property transactions every year, so we recognised an opportunity to improve efficiency even further.

Working with MatterSphere and Expedite Law, we helped develop an integration that automates much of the registration process. An API has also been created to trigger the automatic registration of property logbooks at the appropriate stage of a transaction.

The result is a faster, more reliable process that reduces manual keying, minimises the risk of errors and frees up our conveyancing team to focus on what matters most: delivering an excellent service to our clients.

Looking Ahead for the Property Market

Digital property logbooks form part of the Government’s long term vision for modernising the home buying and selling process, with the aim of making transactions more transparent, reducing delays and giving homeowners greater control over information relating to their property.
